Southern European Veterinarian Conference

The Southern European Veterinary Conference-SEVC invites veterinarians to submit abstracts either as FREE COMMUNICATIONS relating to clinical research, both prospective and retrospective, or CASE REPORTS that present new or alternative information of interest to small animal or exotic animal clinicians. Case reports should be based on three or more clinical cases of the same disease. All abstracts must be presented in poster format. Original work only will be accepted.

PRESENTING YOUR FREE COMMUNICATION INVOLVES:

1. REGISTRATION OF THE FREE COMMUNICATION OR CASE REPORT

PERSONAL DETAILS

All personal details of the main author must be included in the Author Registration Form.

Work can be presented with multiple authors, however only one person can be registered as the main author for presentation and contractual purposes.

SUMMARY

  • The summary, the poster and the poster presentation of the work will only be accepted in English or Spanish.
  • The presentation summary must be received by the 16th of MAY 2013.
  • Summaries are to be submitted using the templates provided for each case (700 words maximum, excluding the biography).
  • Summaries should adequately describe the objectives and results of the work in order to evaluate quality and originality.
  • Include the following sections:

Free Communication:

  1. Objectives of the study

  2. Material and Methods: with a description of procedures, including a statistical study

  3. Results: with main results of the study

  4. Conclusions

  5. Bibliography *

Case Report:

  1. Introduction and Case Report

  2. Discussion

  3. Bibliography*

* BIBLIOGRAPHY FORMATS

Any statement that is made in the article and that does not reveal the results in itself, must be accompanied by a corresponding bibliographic quot. These references will be put in order at the end of the article according to how they appeared in the text (not alphabetically) and they’ll receive a consecutive number according to their order of appearance. These numbers will be included in the text in superscript.

Always name all authors if less than six. If more, name the first three then add et al.

PHOTOGRAPHS and GRAPHICS

Only One graphic or digital photographic representations of the work will be admitted.

Note: Digital Photographs should be presented preferably in TIFF, JPG or EPS format. In all cases the minimum resolution should be 300 dpi.

The main author will receive automatic confirmation that the communication has been received from the secretary with an assignment code that identifies the corresponding author his/her essay and is to be used when making any enquiries.

NOTE

Summaries and therefore corrections will not be accepted in the following cases:

  • If they are received after the 16th of MAY 2013
  • If it is stated that the results are to be discussed, however they are not included in the poster
  • If they are not received using the official template format
  • If they have not been drafted using the established format
  • If they are sent via the postal service

2. EVALUATION AND ACCEPTANCE OF THE WORK

Once the summaries have been received, they will be evaluated by members of the AVEPA Scientific Committee or other expert evaluators using only the assignment code of the essay; never with the name and personal details of the author.

Once the summaries have been evaluated, the authors will be informed as to whether or not their essay has been accepted within 8 weeks after the acceptance deadline. In some cases, or when considered necessary, authors will be asked to make modifications or corrections to some aspects of their poster. This means that the newly revised poster will have to be resubmitted, with new deadlines to be specified to each author. Summaries received after this date will not be included in the congress programme.

3. REGISTRATION FOR THE SEVC 2013 CONFERENCE

Once an essay has been accepted its main author can and indeed must register for the SEVC13 - AVEPA National Congress before the 8th of September 2013. Anyone whose open topic presentation has been accepted and who have not registered by the above mentioned date will lose the option to present their work in any format whatsoever.

The main author presenting an open topic presentation at the SEVC13 - AVEPA National Congress will have a special inscription rate, ONLY and IF the posting have been accepted.

4. PRESENTATION OF THE WORK DURING THE CONFERENCE

Free Communication and Case Report studies accepted are to be presented in POSTER FORMAT during the conference and will be exhibited throughout the congress, from 17-19 October, 2013 at the Fira Barcelona.

DISPLAY OF POSTERS

  • The presentation of posters must be made in accordance with the established terms and conditions.
  • The display date for posters is the 17 October, 2013 from 2:00pm till 7:30pm.
  • The space available for each poster is 90cm wide by 130-150cm high. We request that no posters occupy the entire space. The display panels will be identified with the assignment code used throughout to identify the essay. We advise that the poster be legible from a distance of two meters and that it does not contain an excess of information (text) which may hamper reading. We recommend preparing (A4) photocopies of the Poster to distribute to the audience.
  • There will be material available for the hanging of posters at the Poster AREA.
  • It remains the responsibility of the Author to ensure the correct placement of the poster on the assigned display panel. Both the poster number and the panel number will be clearly indicated.

PRESENTATION OF THE POSTER

The main author of the essay must be present in front of the poster on 18 October, 2013 from 18:30 to 19:45. We recommended making A4 copies of the poster to be available for distribution to interested parties and to the evaluators.

The presentation of the poster is an indispensable condition for acceptance the poster. In case it is not presented, any communication of the author will be accepted in the next 2 editions.

TAKEN DOWN OF THE POSTER

Posters are to be taken down on 19 October, 2013, from 7:00pm onwards. Posters that have not been removed by 9pm will be presumed abandoned and the SEVC organization will not be held responsible for returning them to the authors.

5. AWARDS FOR BEST FREE COMMUNICATION, BEST CASE REPORT AND RECENT GRADUATE PRESENTATION

Posters will be awarded prizes in three categories:

  • Best Free Communication (Open Topic);
  • Best Case Report; and
  • Best Recent Graduate Presentation (first author must be no older than 29).

The Scientific Committee will evaluate entries for:

  • Topic originality;
  • Practical application; and
  • Scientific precision.

A jury will then evaluate the three highest scoring posters in the three categories and choose a winner in each category.

Three well-known veterinarians will be invited by the Scientific Committee AVEPA to make up the jury, which will be changed each year. Free Communications coordinators will not be jurors.

The Scientific Committee reserves the right to declare any category void or to award additional prizes.

Winners will receive a check for 500€ and a certificate. All winners will be notified before the Conference.

AWARD CEREMONY

The AVEPA –SEVC Scientific Committee will award the prizes at the Opening Ceremony. We encourage authors to be present during the event or otherwise send a person to represent them.

6. PUBLICATION OF THE WORK

All work accepted and entered for competition will be included in the CD of Congress material to be handed out to all congress attendees.

The Scientific Committee reserves the right to publish presentations in the official AVEPA magazine, “Clínica Veterinaria de Pequeños Animales" or on the AVEPA Website, after their presentation at the Congress.

The coordinator of the AVEPA magazine, Clinica Veterinaria de Pequeños Animales, will select some abstracts accepted by the SEVC for publication. The coordinator may request that authors, if they wish, expand the content of their abstract before it is reviewed and published
